Description

A. Develop, issue, and control administrative policies and procedures

  • Develop, review, update, and standardize internal administrative policies, procedures, and regulations (including asset management, vehicle usage, hospitality, business travel expenses, procurement, etc.).
  • Ensure all procedures comply with applicable laws and align with the Management Board’s governance direction.
  • Organize communication, provide guidance, and conduct internal training on administrative policies and procedures.
  • Monitor and enforce compliance; handle or propose disciplinary actions for violations.
  • Periodically evaluate the effectiveness of procedures and propose improvements.

B. Manage assets, facilities, and document control & records management

  • Plan and control the procurement, allocation, transfer, and disposal of assets, tools, and equipment.
  • Monitor asset usage and condition; conduct periodic and ad-hoc inventory checks.
  • Manage facilities systems, including offices, meeting rooms, equipment, utilities (electricity & water), security, cleaning, and maintenance.
  • Manage document control and records management systems (both physical and electronic), ensuring confidentiality and quick retrieval.
  • Act as the focal point for working with service providers (maintenance, cleaning, security, office leasing, etc.).

C. Logistics and Event Coordination under the direction of the Management Board

  • Plan and execute logistics arrangements for meetings, conferences, guest reception, and partner engagements.
  • Organize internal events, including year-end reviews, anniversaries, team building activities, and training programs.
  • Manage and allocate administrative and event budgets; control costs in line with approved plans.
  • Coordinate with internal departments to ensure events are delivered on schedule, maintain a professional image, and achieve communication effectiveness.
  • Prepare post-event reports and propose improvements for future programs.

Requirements

  • Bachelor’s degree in Economics, Human Resource Management, Sociology, Law, or related disciplines.
  • Strong English communication skills.

Other Requirements

  • Proven experience as an Administration Manager/Head of Administration in a company with at least 30 employees.
  • Prior management experience, with strong capabilities in training and coaching staff.
  • Strong communication skills; honest, proactive, confident, and able to work under pressure; professional appearance.
  • Good teamwork skills, with strong negotiation and persuasion abilities; capable of handling high work pressure.
  • Strong organizational and multitasking skills, with the ability to oversee and manage multiple tasks effectively.
  • Age under 38.
